Answers:

Q1: Why can I not see the Budgeting Live hyperlink in my Management Portal?
A1: The CWL ID is not yet set up in the system. Please ensure a validated account application has been approved and submitted by your department's administrator. If already done, please forward an email to the Budget Implementation mailbox for follow up.

Q2: What do I do when I encounter an error message when opening a form?
A2: When you receive the warning prompt "The data form…. is very large and could take considerable time to load. Do you wish to continue?", please Click Yes and continue. This is not an error but a simple setting to warn the user that the data query is pulling data over a certain threshold.

Q3: Why do I not see any data on the form that I just opened?
A3: Review the Point Of View (POV) or Page Selection for the page to ensure the filter is set to extract/view data from a valid data intersection. For example, a wrong department number will return no data if it is not provisioned for the user.

Q4: Why is there no light yellow colored cell to enter data?
A4: Only the lowest level of the data intersection is available to store data. For example, account TRAVEL is not a level 0 member. Account 621000 is the level 0 member.

Q5: Why am I not able to see the Cell Text that has been entered?
A5: Move your cursor to a cell, highlight it by clicking on it and then select the "ABC" button from the top tool bar to view or edit Cell Text content.

Q6: When copy and pasting a cell, why is the data in the blue or brown cells not copied?
A6: A blue cell means that there are supporting details behind the value. Brown cell mean that the cell has been locked by a user so it will not change. These will be modified by Adjust, Grid Spread or Paste value.

Q7: Why is the Grid Spread at the YearTotal Column not taking the Fill option?
A7: YearTotal is considered as a data entry cell as well as an aggregation for the year. The default calculation is to divide the value in YearTotal among the 12 months. The Fill option will not override the spreading which is at the end of the refresh process.

Q8: How do I create Supporting Details to build a value within a cell?

Q9: Is the system available 24x7?
A9: No – The system will be offline during 10:00 PM PST & 7:00 AM PST for daily maintenance.

Q10: Does the system support Apple Macintosh?
A10: Yes – the system does support Apple Macintosh machines. Considering this is a web based application you should have Firefox 2.0.x for the application to work effectively.

Q11:What browsers are supported by the application?
A11: Firefox 10 or greater is the preferred browser for Hyperion. Please note for Firefox, users need to install XUL Manager and enable the Hyperion website. Internet Explorer (IE) 8 and 9 are also compatible with Hyperion, however there are security concerns around using older versions of IE. If users choose to use IE 8 or 9 instead of the current version of Firefox, please only use IE for Hyperion planning purposes only and do not use IE to visit other webpages. Q12: What Data is available in system?
A12:
Hyperion Planning system has been loaded with the following information

  • 3yrs prior year ACTUALS
  • Current year BUDGET
  • Current year ACTUALS till September
  • Position Management Data as of Oct 30, 2010


Q13: How often ACTUALS will be loaded from FMS?
A13: Hyperion system will be updated with FMS data on a daily basis.

Q14: How frequently Position Management data gets reflected in the system?
A14: During the annual budget cycle data from Position Management will be loaded on weekends to Hyperion. After the budget cycle [post January] the frequency of data load will be changed to once a month.

Q15: Can I perform Fund Transfers from within the system?
A15: Yes – you can perform InterFund transfers currently within the system. External GPO transfers will be available ONLY starting January. Until then please follow the existing process.

Q16: Can I access the system from off-campus?
A16 : Yes – the system is available off-campus but you will have to be connected to UBC's VPN using a valid CWL ID.
Note:- If you do not have VPN access please contact your IT support team.

Q17: Can I add a GPO funding transfer to my Plan or Forecast (GPO to GPO)?
A17 : Yes – Transfers that will be submitted to the Budget Office after the planning cycle can be added to your Plan or Forecast. Transfers added to you Plan or Forecast in this manner are for planning purposes only and will not affect the actual GPO funding allocation in your PGs or the Central Ledger. To add a GPO funding transfer to your Plan or Forecast please email your completed form to budget@finance.ubc.ca
