UBC Student Email - Terms of Service

Thank you for subscribing to the UBC student email account (the "Service"). By using the Service, you agree to the following terms of service (the "Terms of Service"):

Description of the Service

You will be given a Student Email Address, using an alias based on the following pattern: CWL@student.ubc.ca. Your account mailbox will be hosted on a secure server located in Canada.

Eligibility for the Services

The Service is for the exclusive use of UBC students in good standing.

To be eligible, students must be:

  • enrolled in a credit course, or
  • registered in a degree program, or
  • a Medical resident

An individual may have only one Student Email Address at a time.

Any questions about eligibility for the Service will be decided by the VP, Students.

The continued availability of the Service is subject to various considerations. UBC offers the Service on a gratuitous basis and may discontinue or modify the Service or these Terms of Service at any time at its sole and absolute discretion.

Signing up for the Service

To sign up for the Service, you must log into the CWL myAccount website (https://myaccount.ubc.ca) and select Activate Student Email.

Upon opting in and agreeing to the terms and conditions, you will be given a student email address and mailbox, using an alias based on the following pattern: cwl@student.ubc.ca.

After you leave UBC, your primary email address will automatically be updated to the following pattern: cwl@alum.ubc.ca. Sending emails using your cwl@student.ubc.ca address will no longer be possible, and any emails that are sent to cwl@student.ubc.ca will be routed to your new cwl@alum.ubc.ca address.

Forwarding your Account

Once a mailbox has been set up, you will be able to set up an email forwarding rule if desired. You may designate any personal account as your target email destination. Your target email destination must not be a UBC business account. You are responsible for ensuring that your target email account is secure.

Relationship to Legacy @alumni.ubc.ca Email Address

The legacy Student & Alumni Email service (which included a name@alumni.ubc.ca email address) is no longer accepting new registrations or account modifications as of August 17, 2020.

All name@alumni.ubc.ca email addresses will be 'grandfathered'. Email sent to these legacy email addresses will continue to work and will redirect to the destination previously specified by the creator of the account.

Personal Use Only

You agree that you will only use the Service for personal use.

If you are also an employee of UBC (e.g. a Teaching Assistant), you agree not to use the Service for purposes connected with your employment. UBC business must only be conducted using secure internal email accounts provided for business purposes.

Corresponding with UBC Staff or Faculty Members

By using the Service, you are authorizing UBC staff and faculty members to send personal messages to you at your Student Email Address for UBC educational and administrative purposes, including providing information about news, events and services. Due to privacy and confidentiality constraints, UBC employees and faculty members are not authorized to disclose third party personal information or other confidential UBC information to you.

Custody and Control of Information

UBC claims no ownership or control over the content of your emails. It will not monitor or access these emails without your express consent unless authorized or required to do so by law. The only exception is that UBC may use automated mechanisms to extract malicious phishing emails, and filters to automatically block spam and bulk emails. Spam and bulk emails (large numbers of email messages) are prohibited because they can interfere with the operation of the Service for everyone and can get UBC on blacklists that prevent other UBC email from being received.

Storage of Information Outside Canada

The only information related to this Service that is stored outside Canada will be the contents of the directory, which will be made available to other users of the system. This directory information includes your Student Email Address and any other information that you add to the directory. The content of your account will be stored on a secure server located in Canada.

UBC Policies

You are aware of and agree to act in accordance with UBC Policies, which are available at: http://universitycounsel.ubc.ca/policies/ In particular, you agree to comply with Policy SC14, Acceptable Use and Security of UBC Electronic Information and Systems, which is available at: https://universitycounsel.ubc.ca/policies/information-systems-policy/

Termination of Service

You agree that UBC may suspend or terminate your use of the Service, in whole or in part, without notice if UBC determines, in its sole and absolute discretion that: (a) you have violated these Terms of Service, (b) your mailbox is compromised and is sending malicious emails; or (c) this is otherwise deemed appropriate by the VP, Students. If your use of the Services is terminated, you may no longer have access to emails or any other information you have generated or received using the Services.

Choice of Law

These Terms of Service and the relationship between you and UBC shall be governed by the laws of the Province of British Columbia.

Indemnity

You agree to hold harmless and indemnify UBC, and its subsidiaries, affiliates, directors, officers, agents, employees, advertisers, licensers, suppliers or partners, (collectively "UBC and Partners") from and against any third party claim arising from or in any way related to your use of the Service, violation of the Terms of Service or your violation of any rights of another connected with your use of the Service, including any liability or expense arising from all claims, losses, damages (actual and consequential), suits, judgments, litigation costs and legal fees, of every kind and nature. In such a case, UBC will provide you with written notice of such claim, suit or action.

No Warranty

You expressly understand and agree that your use of the Service is at your sole risk. The Service is provided on an "as is" and "as available" basis. UBC does not guarantee the Service will be uninterrupted, timely, secure, or error-free, or that data loss will not occur. UBC and Partners disclaim all warranties of any kind, whether express or implied, including without limitation, the implied warranties of title, merchantability, fitness for a particular purpose and non-infringement.

Limitation of Liability

YOU EXPRESSLY UNDERSTAND AND AGREE THAT UBC AND PARTNERS SHALL NOT BE LIABLE TO YOU FOR ANY DIRECT, INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR EXEMPLARY DAMAGES, INCLUDING BUT NOT LIMITED TO, DAMAGES FOR LOSS OF PROFITS, GOODWILL, USE, DATA OR OTHER INTANGIBLE LOSSES (EVEN IF UBC HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES) RESULTING FROM: (i) THE USE OR THE INABILITY TO USE THE SERVICE; (ii) THE COST OF PROCUREMENT OF SUBSTITUTE GOODS AND SERVICES RESULTING FROM ANY GOODS, DATA, INFORMATION OR SERVICES PURCHASED OR OBTAINED OR MESSAGES RECEIVED OR TRANSACTIONS ENTERED INTO THROUGH OR FROM THE SERVICE; (iii) UNAUTHORIZED ACCESS TO OR ALTERATION OF YOUR TRANSMISSIONS OR DATA; (iv) STATEMENTS OR CONDUCT OF ANY THIRD PARTY ON THE SERVICE; OR (v) ANY OTHER MATTER RELATING TO THE SERVICE.
