March 15, 2022

The Records Management Office (RMO) for UBC Vancouver and UBC Okanagan is issuing enterprise-wide retention schedules that require input from across the university.

UBC staff and administrators at UBC Vancouver and UBC Okanagan who are familiar with the functions and activities within their units are invited to review the schedules and complete the embedded surveys, which are now available online until the comment period closes on April 8, 2022 The schedules will be posted for a second comment period May 16 - June 9, 2022.

After the close of each comment period, RMO will review the feedback and update the schedules as needed. The final schedules will be posted online and updated annually by RMO.

What are retention schedules?

UBC develops and approves records retention schedules in order to comply with University and Legislative policies, and to enable units to make decisions regarding the management of their records. These schedules ensure that all University records are kept as long as they are required for administrative, legal, fiscal and historical purposes. The retention schedules also provide guidance on proper and timely disposition of records that are no longer needed by the university or its units.
