General Questions

All email and calendar entries will be migrated from FASmail to Exchange Online. You will experience no downtime, and the process will be as smooth as possible.
Yes, departmental branded mail domains can still be used, but you must use your fn.ln@ubc.ca address and CWL password as your M365 login credentials.
No, email is accessible without VPN. However, it is recommended to use secure methods like VPN when handling UBC electronic information remotely.

Pre-Migration

Yes, we recommend deleting unnecessary items, emptying your Deleted Items folder, and purging items from the Recover Deleted Items folder. This speeds up the migration process.
PST files will remain accessible after migration, but cleaning up large mailboxes is recommended.

During Migration

No, you will continue to have access. For best results, close your email client at the end of the business day. Some email clients will need to be reconfigured after migration. You can always access Webmail at https://outlook.office.com if your desktop application needs to be reconfigured.
Yes, as long as you are using a supported version of Microsoft Office, i.e. Office 2021 or above.

Post-Migration

The issue is temporary and specific to the Teams desktop app. Use the mobile app or your Outlook calendar as an alternative.
Most rules will carry over, but email forwarding rules need to be reconfigured and tested.

Access and Permissions

Currently, only IT can manage changes to distribution lists. We expect this to be available after the migration project has fully completed.
Submit a request to IT to have the necessary permissions granted.

Technical Issues and Troubleshooting

First, ensure that you are logging in with your fn.ln@ubc.ca as your username with your CWL password. If you are having issues with launching the application, reinstall Microsoft Office, clear all keychains related to Microsoft, and reboot the system.

This can happen occasionally if Outlook is in Cached mode. Before proceeding, save your Outbox items in another folder first. Disable Cached Exchange Mode, restart Outlook, and re-enable it. Shared and Generic Mailboxes

These will be migrated after all individual mailboxes, likely in mid to late 2025.
No, due to basic authentication being discontinued. Use Outlook instead.

Mobile and External Applications

Yes, the mobile app for iOS and Android will work post-migration.
Only the Calendly Outlook Add-in is approved. Microsoft Bookings is being evaluated as an alternative.

Privacy and Security

No, Microsoft does not have access to data in UBC’s M365 tenant.
Email relays will operate the same, processing spam and virus scanning as before.
