What is the Regulated Hazardous Substances Management System (RHSMS) Project?

A more consistent, connected way to manage regulated hazardous substances at UBC.

UBC is implementing SciSure, a centralized platform that will support the management of regulated hazardous substances and related safety processes across research, laboratory, and participating operational environments. The project will replace or reduce reliance on fragmented local tools and processes, improve the quality and accessibility of inventory information, Safety Data Sheets (SDS) and support more consistent regulatory and safety practices.

Why this project is happening?

Today, hazardous-substance information and related processes are managed in different ways across UBC. Depending on the unit or lab, information may be maintained in spreadsheets, local systems, paper records, or other tools. This makes it difficult to maintain consistent information, support reporting, and demonstrate compliance across a large and complex environment.

RHSMS is intended to create a more consistent institutional approach, supported by SciSure as the common technology platform.

What will change?

  • A common platform will increasingly be used to manage in-scope hazardous-substance information and related workflows.
  • Labs and operational units will prepare and maintain the information required for the SciSure modules relevant to their work.
  • Users will receive role- and module-specific training and supporting resources before they are expected to use the platform.
  • Processes will become more standardized over time, while the project learns from differences in how laboratories operate today.
  • A network of experienced users will help sustain knowledge and reinforce expected practices beyond the implementation period.

The Approach to the SciSure/SciShield Implementation

UBC is taking a phased approach rather than attempting an institution-wide launch at once. Early adopters from a range of laboratories and operational units are helping the project team configure, test and learn how SciSure works in real operating environments before broader rollout.

Below are the principles that support the migration process
