Overview
UBC is implementing automated email alias provisioning as part of our Microsoft Exchange Online migration. Starting October 15, 2025, preferredfirstname.preferredlastname@ubc.ca (preferredFN.preferredLN@UBC.ca) aliases will be automatically created for new employees through Workday integration, following UBC's Enterprise Data Governance Naming Standards.
What is changing?
For New Employees (hired after October 15, 2025):
- Automatic preferredFN.preferredLN@UBC.ca alias creation from Workday preferred names
- If no preferred names are set, legal names will be used
- Duplicates receive numerical sequences (e.g., preferredFN.preferredLN2@UBC.ca)
- The alias serves as both email address and M365 login username
- No manual alias selection during CWL signup/Simplified Sign Up
For Existing Employees:
- Current preferredFN.preferredLN@UBC.caaliases remain unchanged
- Changes only permitted for:
- Legal name changes processed through HR
- Preferred name updates documented in Workday
- Correction of data entry errors
- Privacy or safety concerns
- Other exceptional circumstances with appropriate approval
- All changes require IT Service Centre ticket
For Department Administrators:
- UBC Directory alias management interface will be removed
- Exceptional changes will use modified Departmental FASmail Administrator approval process through ITSC
Email Forwarding
- preferredFN.preferredLN@UBC.ca aliases are tied exclusively to FASmail mailboxes
- Forwarding allowed to domains compliant with Information Security Standard U3

- Student email accounts (separate system)
