Email Alias Management - Automated Provisioning

Overview

UBC is implementing automated email alias provisioning as part of our Microsoft Exchange Online migration. Starting October 15, 2025, preferredfirstname.preferredlastname@ubc.ca (preferredFN.preferredLN@UBC.ca) aliases will be automatically created for new employees through Workday integration, following UBC's Enterprise Data Governance Naming Standards. 

What is changing?

For New Employees (hired after October 15, 2025): 

  • Automatic preferredFN.preferredLN@UBC.ca alias creation from Workday preferred names
  • If no preferred names are set, legal names will be used
  • Duplicates receive numerical sequences (e.g., preferredFN.preferredLN2@UBC.ca)
  • The alias serves as both email address and M365 login username
  • No manual alias selection during CWL signup/Simplified Sign Up 

For Existing Employees: 

  • Current preferredFN.preferredLN@UBC.caaliases remain unchanged
  • Changes only permitted for:
    • Legal name changes processed through HR
    • Preferred name updates documented in Workday
    • Correction of data entry errors
    • Privacy or safety concerns
    • Other exceptional circumstances with appropriate approval 
  • All changes require IT Service Centre ticket 

For Department Administrators: 

  • UBC Directory alias management interface will be removed
  • Exceptional changes will use modified Departmental FASmail Administrator approval process through ITSC
